What does an AI chatbot cost? The honest math
An AI chatbot isn't a single price. It's setup, a monthly fee and sometimes a charge per conversation. I show what the three pricing models really cost, the costs nobody mentions, and when you are better off not building one.
TerenceYou want an AI chatbot on your website or WhatsApp, and the first question is logical: what does an AI chatbot actually cost? The honest answer is that there is no single price. One provider charges €69 a month, another €2,450 upfront plus a monthly fee, and the big international tools bill you per resolved conversation. In this article I do the math with you: the three ways you pay, the costs nobody puts in the quote, and, just as important, when you are better off not building a chatbot at all.
The three ways you pay for an AI chatbot
Before you compare prices, you need to know which pricing model sits underneath. Because two providers who both shout '€150 a month' can leave you with a completely different bill at the end of the year. There are roughly three models.
- A fixed amount per month. You pay the same every month, whether the chatbot handles 10 or 10,000 conversations. Predictable, and the standard model for most Dutch providers.
- Per conversation. You pay for each conversation the chatbot starts. Sounds fair, but your bill rises with how busy you are, exactly when you are already swamped.
- Per resolved question. You only pay when the chatbot fully handles a question on its own. This is the model of the big international platforms, and this is where the catch hides.
The catch: paying per resolved question
Paying per resolved question sounds like the fairest deal there is, you only pay for results. But do the math and you see the problem: the better your chatbot gets, the more questions it resolves, the higher your bill. You are punished for success. With Intercom's Fin you pay $0.99 per resolved question, with Zendesk it runs up to $1.50 to $2 per resolved question (source: their own pricing pages). Across the industry, the range in 2026 sits between $1 and $6 per resolved question (source: Crescendo AI). Does your bot handle 2,000 customer questions a month? Then you're looking at €1,800 to €4,000 a month, every single month.

What an AI chatbot costs in the Netherlands, roughly
Most Dutch providers keep it simpler: a fixed monthly fee, sometimes with setup costs. To give you a feel, a few common market prices as of 2026:
- A simple chatbot for your website: from around €69 a month, with one-off installation and training costs around €500.
- An all-in chatbot including the AI model: around €150 to €200 a month, sometimes with no upfront cost.
- A basic chatbot around €89 a month, rising to around €499 a month for a fully automated customer service with ticket routing.
- A custom chatbot linked to your customer system: easily around €2,000 to €2,500 one-off plus a few hundred euros a month.

The hidden costs that aren't in the quote
The monthly fee is rarely the whole bill. Four cost items are often forgotten, and they decide whether a chatbot pays for itself or becomes an expensive disappointment.
- Setup and training. A chatbot is only useful once it knows your products, prices and frequently asked questions. Entering and testing that takes time, yours or the provider's.
- Integrations. Want the bot to look up an order number or book an appointment? Then it has to talk to your webshop, calendar or customer system. Every link is extra work.
- The usage cost of the AI model itself. Behind every smart bot sits a language model that costs a few cents per message. With few conversations you won't notice, with thousands a month it adds up.
- Maintenance. Your prices change, your offer changes, customers ask new questions. A bot nobody keeps up to date gives outdated answers within six months.
The most expensive cost item is in no quote: a bad chatbot that irritates your customers. A bot that keeps answering 'I don't understand that' drives people away instead of helping them. Then you pay monthly to lose customers. Better a small bot that does three things really well than a big one that does everything halfway.
Do the math yourself: when does a chatbot pay off?
A chatbot isn't a cost but an investment, if it takes over work that costs money now. The math is simple. Say someone on your team spends 2 hours a day on the same recurring questions. That's about 40 hours a month. Count €30 an hour and you're spending €1,200 a month on work a chatbot can largely take over. Against a chatbot of €150 to €250 a month, it pays for itself easily, provided it actually handles those questions well.

When you are better off not building an AI chatbot
I don't sell chatbots for the sake of chatbots. Sometimes it is simply the wrong solution, and then I'd rather say so upfront than afterwards.
- You get few and mostly unique questions. A chatbot is strong at repetition. If you get different, complex questions every day, it resolves little and you pay for little.
- The real problem is somewhere else. Getting lots of questions because your website is unclear or your delivery times disappoint? Fix that first. A chatbot that makes a bad experience faster is still a bad experience.
- You have no time to feed it. A chatbot nobody keeps up to date ages fast. Without someone checking in now and then, it becomes a complaint rather than a help.
- Personal contact is your selling point. If you sell precisely on attention and bespoke work, a bot can feel distant. Use it at most for the boring standard questions, not for the real conversation.
Problem first, chatbot second
This is where the difference in how I work sits. Most providers ask 'which package do you want?' and steer you toward a standard chatbot. I ask first: where are you losing time now, and is a chatbot even the answer to that? Sometimes it is. Often it's something else, a smart automation behind the scenes, better email handling, or a link between two systems that removes the retyping. The chatbot is a means, not an end.
And about the pricing model I'm clear: I charge a fixed amount per month, no surcharge per conversation or per resolved question. Your bill doesn't rise as you get busy. The fact that you automate the work well shouldn't cost you extra.
