Which processes are best suited for automation?
The rule of thumb is simple: if a task is roughly the same every time and involves moving information or handling communication, it's most likely automatable. For manufacturing companies, these are the processes that deliver the most value:
- Processing quote requests: a customer sends specs, an automated system retrieves the data, fills in your quoting tool and sends a draft for review. You approve and send.
- Updating order confirmations and planning: once a customer agrees, an order confirmation is automatically created and the production schedule updated.
- Creating purchase orders: based on the bill of materials, purchase orders are automatically created and sent to suppliers, no more manual retyping.
- Converting job sheets to invoices: job sheets are automatically converted into draft invoices in your accounting software such as Exact Online, AFAS or QuickBooks.
- Customer communication about delivery times: customers automatically receive an update when their order goes into production, is ready or faces a delay.
What we don't yet recommend automating: the first customer meeting, technically complex quotes with many exceptions and quality control in production itself. Those still need human judgement.

Honest: what doesn't work well yet?
Not everything AI companies promise works well in practice yet. These are the three situations where automation disappoints:
- Complex quotes where every request is genuinely different and requires technical consultation: automation helps partly, but can never take it over completely.
- Poor data structure: if your order management currently lives in three separate spreadsheets and nobody uses the same naming conventions, you need to fix that first. Automation speeds up processes, it doesn't fix a mess.
- Outdated ERP without integration capability: legacy systems without standard connectors make a project significantly more expensive. Always ask this upfront when talking to an agency.
How do you start with AI automation as a manufacturer?
Most entrepreneurs think they need to start with a large digitalisation project. That's not true. The smartest first step is choosing one process that currently costs the most time and automating that, not everything at once.
- Step 1: Track for one week how many hours each administrative process costs. The totals always come out higher than expected.
- Step 2: Choose the process that is repeated most often and varies least each time. That's your starting point.
- Step 3: Request two or three quotes from automation agencies and specifically ask whether they have experience with your industry software such as Exact Online, AFAS or Ridder iQ.
- Step 4: Start with a pilot project of 4 to 6 weeks for that one process. Small, manageable, measurable.
- Step 5: Measure time savings after three months and then decide whether to expand to other processes.
